Zoom AI Companion


Zoom's AI Companion acts as your personal Zoom assistant. It can assist with:  

  • Searching meetings, chats, emails, or files using keywords, attendees, or dates
  • Summarizing or answering questions about meetings, chats, emails, or files
  • Preparing for upcoming meetings with relevant materials
  • Answering questions using up-to-date information from web searches

 

Enabling and Using Zoom AI Companion

Enabling AI Companion for Meetings

  1. Open Zoom Workplace and sign in.
  2. In a web browser, on the left, click Settings to open your account settings.
  3. At the top, click AI Companion
  4. For features that have user-level settings, you can turn each one on or off.
  5. Look for the AI Companion diamond in multiple products throughout Zoom Workplace, such as your Zoom Meetings controls toolbar or Zoom Team Chat window. After you find the AI Companion diamond, you’re ready to start exploring its capabilities as an AI meeting assistant, writing helper, and more.

Meeting Summaries

Allows meeting hosts to initiate an AI-generated summary of their meeting. When the host enables this feature in a meeting, participants may automatically receive a summary after the meeting ends, if the host chose to share it with them.

Meeting Summaries are sent through email and posted to the meeting's dedicated group chat in Team Chat, making it easy for attendees to review the key points of the meeting and the topics that were discussed.

You can adjust meeting summary options in your account settings:

  1. On the left, click Settings.
  2. At the top, click AI Companion. Settings are located under the Meeting Section.

 

How to Start a Meeting Summary:

You can start or stop Meeting Summary through the in-meeting controls for meetings you host. Meeting Summary only begins when the host or co-host clicks Start summary. Users can also adjust their settings to have Meeting Summary start as soon as the meeting launches.

  • Note: This does not require the host to be present, as Meeting Summary generation will begin as soon as someone starts your meeting.
     

If the host does have Meeting Summary enabled for their meetings, any meeting participants can request that it be started for the current meeting. The host will receive an in-meeting request to start Meeting Summary for the current meeting.

Start Meeting Summary as the host
  1. Start a meeting from the Zoom desktop app.
  2. On the in-meeting controls, click AI Companion.
  3. The meeting summary will begin to be generated, and participants will see a notification informing them that Meeting Summary is active.
  4. (Optional) Click AI Companion, then Stop AI Companion to stop summary generation.
  5. After the meeting has ended, the summary will be finalized and sent out.

 

Request Meeting Summary as a participant
  1. Join a meeting using the Zoom desktop app.
  2. In the meeting control toolbar, click AI Companion
  • Note: If Meeting Summary is not currently enabled for the meeting, the participant will be prompted to request feature enablement.
  1. Click Ask host.
  2. The request will be sent to the host (if the host is an admin) or any admins in the current meeting. If no admins are present, an email request is sent instead.

 

Accessing Meeting Summaries:
Access through Team Chat

Only available if the meeting was scheduled with continuous meeting chat enabled.

*Note: When scheduling a meeting, under the meeting section click the check box next to "Enable Continuous Meeting Chat".

  1. Sign in to the Zoom desktop app.
  2. Click the Team Chat tab.
  3. Select the group chat with the same name as the meeting topic.
  4. Search for the message from Zoom Meetings then click View Details.
  5. (Optional) Click Edit to modify the summary, then click Save.
  • Note: Only the host can edit the summary.
  1. (Optional) Click Delete to remove the summary.
  • Note: Only the host can delete a summary. This action cannot be undone and the deleted summary cannot be restored to the chat channel.

 

View Email Summary

If continuous meeting chat is disabled, the summary can only be shared through email.

  1. Go to your email inbox.
  2. Find the email with the same subject as the meeting topic to view the summary.
  3. In the email body you can click Edit Summary Here (you will have to sign into zoom if you are not already to continue editing).
  • Note: Only the host has the Edit Summary Here option. 
     

Important:

  • Unauthenticated users will not receive an email summary, as no email address was associated with their presence in the meeting. 
  • Participants joining the meeting ad hoc (through the in-meeting contact invitation or sharing the join link) will not receive the summary, as they were not on the original invitee list.

 

Managing Meeting Summaries:

The Meeting Summary with AI Companion page allows you to view, edit, and share the summaries of meetings you hosted.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Summaries.
  3. In the My Summaries tab, select from the list to access the meeting summary. Alternatively, enter a meeting topic or ID, or select a date range to search for a specific meeting summary to be displayed.
